EZ Mail Matches Your Schedule
0 minutes each month No time—no problem. After set up, you can completely ignore EZ Mail. We’ll do all the work. Each month, we’ll accept new subscribers through the link on your site, maintain their current profiles, and deliver your monthly newsletter packed with financial tips.
15 minutes each month Perfect. We’ll maintain e-mail addresses and build each issue. You preview the newsletter each month—cut out anything you don’t like, and paste in your branch news with links back to your site. We’ll give you proofs and send the issue for you.
30 minutes or more each month Have it your way. Although we collect new and maintain current e-mail addresses, you can upload new e-mail addresses yourself. If you don’t like the newsletter, cut the copy and images and paste in your own. Add promotional links to your current specials. Running out of time? Hire us to do it for you. You simply approve the results.

Brand Your Newsletter During Set Up

You’ll make your most important decisions before the first issue of your newsletter is ever sent. Here are main choices we’ll coach you through:

  1. Who gets the newsletter? We recommend that you send a message to all e-mail addresses, except those who have indicated they don't want to receive emails from you). Point out the benefits of your e-newsletter (there are many), but be sure to give members a clear opportunity to “opt out” (request not to receive your newsletter). We will provide sample copy for you to customize.
  2. What information do we want about subscribers? We’ll provide you with the HTML coding to add a sign-up page to your Web site based on the information you want from subscribers. We recommend you collect e-mail address, first name, and last name. You might want additional information—we’ve got some suggestions.

  3. How should I format the data file I want to upload? If you have a ready source of e-mail addresses, we’ll steer your IT folks toward the easiest way to format the list and add it to EZ Mail. Usually, an Excel file is best. Don't worry about duplicates - EZ Mail takes cares of those automatically.
  4. What should we name our newsletter? We recommend something simple, like eNews. You can customize a masthead with your logo and newsletter name or get help from us.
  5. What design should we use for our monthly newsletter? We have templates that you can customize to match the colors and feel of your credit union Web site. Since the newsletter is an extension of your site, we’ll help you match them up. Give your selection careful thought, as we encourage you to stick with one design—swapping colors each month confuses members, leading them to suspect your newsletter is a phishing message.
  6. How do we stay in compliance with the CAN-SPAM Act? We’ll show you how to add a physical address to the bottom of the newsletter and a link for subscribers to “opt out” (stop receiving the newsletter). We’ll maintain your e-mail addresses in compliance with the Act.
  7. What e-mail address should we use as the sender? We have a ready-approved sender address of yourcreditunionname@member-rsvp.com, or you can select your own. To ensure your newsletters make it past spam filters, we’ll show your IT folks how to add authentication coding to your credit union’s mail server.

The EZ Mail team will walk you through the basic steps to set up your newsletter. If you decide you’d like additional services (such as template or masthead redesign, automatic large file uploads, or assistance in customizing and testing each month) we can support your needs for an hourly fee. Customize Each Month

Before the end of each month, we’ll send you an e-mail notification to preview the next month’s newsletter. Just log in to EZ Mail, and you’ll see fresh content in your selected design, with your masthead. If you do nothing, we will automatically e-mail this issue to all your subscribers on the 10th of the month.

Better yet, add branch news to each issue. You may add text, images, and links. We recommend that you replace the top quotation with a brief message. Also, you can replace any of the articles with stories of your own. The narrower column is the perfect spot to add graphics of your current promotions that link back to your site.

Customizing is as easy as cutting and pasting. When we named this “EZ Mail,” we meant “Easy Mail.”

Since testing is always a good idea, you’ll have an opportunity to send your customized issue to yourself and others who might want to review the message. We recommend that you test each link that you’ve added.

At this point, you can select a date to send the newsletter or leave it to us to send on the 10th.

Leave E-mail Maintenance to Us

Once your newsletter is sent, EZ Mail attempts to deliver it over the next 36 hours. We keep trying because there are moments when a subscriber’s in box is too full or there is too much traffic for the subscriber’s e-mail provider to accept a message.

We drop duplicates and bad addresses (like sally@yahoo.cat) and accept changes from your subscribers. 24/7 we handle new sign-ups and opt-outs.

Keep in mind this list is yours (we just do the work). You can download a copy of it at any time or upload a file of new e-mail addresses you’ve collected.

Check Your Results

Log in to EZ Mail anytime to see how members are reacting to an issue. You’ll learn how many were delivered and opened. You can even track how many times subscribers followed a link. We use this data to determine the content for future issues. You can use it to evaluate how well your members like the newsletter and which of your own additions they found helpful.

If you really like numbers, you’ll find an array of reports you can easily build right in EZ Mail and even e-mail them to the management team.
